1. Account Setup & Registration
To participate in the community leaderboards and maintain your digital logbook, you must first create an account.
📝 How to Register
- Click Create Account on the homepage.
- Enter your actual Name and your official Callsign.
- Provide a valid email address. (You cannot log in until you verify this email).
- Check your email inbox (and Spam folder) for the verification link. Click it to activate your account.
✨ The "Auto-Claim" Ghost Data Feature
If you participated in official Nets before registering for this portal, the Admin team may have already uploaded your past check-ins using ADIF files. When you register, the system automatically searches the database for your callsign and instantly links your past check-ins and QSOs to your new account. You might log in and immediately see yourself on the Leaderboard!
2. Managing Your Profile & Station
Your profile represents you on the Leaderboards, Net Rosters, and Live Maps. Keep it updated!
👤 Uploading an Avatar & Custom eQSL
From your Logbook dashboard, click 👤 My Profile in the top menu.
- Profile Photo: Click "Change Photo" to upload a picture. The system accepts JPG and PNG files up to 2MB.
- Custom eQSL: You can upload your own blank background template for the system to use when generating eQSL cards. We recommend a landscape size of 1050x750 pixels.
📡 Station Equipment & Grid Square
Updating your station details allows other operators to see your setup and helps the portal map your location.
- Grid Square (Maidenhead Locator): Enter your 6-character grid (e.g., OJ51). This will be used in future updates for Live TX/RX mapping.
- Rig & Antenna: Showcase your radio (e.g., Yaesu FT-991A) and your antenna setup (e.g., Slim Jim).
3. The Smart Logbook (Logging QSOs)
The Smart Logbook is your private digital workspace. It is where you record every radio contact you make.

Did you know you can connect WSJT-X or JTDX directly to this portal? The moment you click "Log QSO" on your computer, it will automatically appear in your Smart Logbook here!

📻 Quick Entry Logging
- Callsign: Type the callsign of the station you spoke to.
- Band & Mode: Select the correct RF band and Mode.
- Smart Frequencies: Click the "Freq" box. A dropdown will suggest common frequencies.
- Click Save QSO.
🔍 Live Search & Filtering
At the top of your log table, you will find a smart search bar. Simply type a callsign or mode (e.g., "9M8" or "FT8") and the table will filter instantly without reloading the page. You can also filter by specific Bands using the dropdown menu.
⚙️ Row Actions
On each QSO row, you have quick control buttons:
- ✏️ Edit (Yellow): Correct any mistakes in the record (like mistyped RST or incorrect Grid Square).
- 📇 PDF (Teal): Generate a beautiful Digital QSL (eQSL) card based on your profile's custom template.
- 📧 Email (Green): Automatically draft and send the PDF eQSL card to the receiving station's email.
- 🗑️ Delete (Red): Remove the record from your personal logbook.
🔄 ADIF Data Management & Syncing
The main buttons at the top right of your logbook:
- 🔄 Sync Past Nets (Blue): If you've been an NCS, this securely pulls all your past Net check-ins directly into your logbook while ignoring duplicates.
- 📤 Import ADIF (Light Green): Bulk upload function. Upload a
.adi file from external software (like WSJT-X, JTDX, N1MM, Log4OM) for instant insertion of hundreds of records.
- 📥 Export ADIF (Teal): Download your logbook to upload to QRZ, LoTW, or ClubLog. The QSO Hamfinity system intelligently filters out RoIP/Internet contacts to ensure compliance with global RF logging rules.
4. Leaderboards & Public Profiles
The Hall of Fame is where the community celebrates its most active operators.
🏆 The Two Leaderboards
- Annual Net Champions: This board tracks official check-ins. It calculates who is the most active operator for the current calendar year. This board automatically resets to zero on January 1st every year!
- Global DXers: This board tracks the absolute total number of personal QSOs you have ever logged in your Smart Logbook.
5. Net Control Station (NCS) Guide
This section is for Moderators and Administrators who run official nets.
📡 Starting a Live Net & Uploading Certs
- Click 📡 NCS Panel in the top menu.
- Under Event/Net Name, use the dropdown to select the official net.
- Enter the Frequency (e.g., 146.500) and select the Operating Mode.
- 🏆 Upload Certificate Template (NEW): Click the upload box to attach a custom A4 landscape background (JPG/PNG) for this specific event. Doing this before the Net starts ensures participants can download their certs the exact moment the Net closes!
- Click 🚀 Start Net.
🔄 Dual Insert - Automatic Logbook Sync
When you click "Log Station" during an active Net, the portal does two things instantly: It saves the station to the official Net Roster, AND it automatically saves a copy into your personal Smart Logbook. The system will even intelligently guess the Band and Mode based on the frequency you set for the Net!
✍️ Taking Check-ins & Closing the Net
- Status Types: You can mark stations as Normal, Late, Visitor, or highlight them in bright red if they have Emergency traffic.
After you have finished hosting the Net, you MUST click the ⏹ Close Net Session button. This locks the roster permanently and commits the record to the Net history.
📊 Net History & Reports
In the Net History & Reports section, you can view the archives of all closed Nets. Here is a breakdown of the columns and actions available:
- Date Closed (MYT): The date and time the Net was closed in Malaysia Time.
- Net Name & Organizer: The official event name and the organizing club.
- NCS Callsign: The callsign of the operator on duty. Note: The callsign listed here dictates whose personal logbook receives the auto-synced copies of the logged data.
Action button functions:
- 📄 Report (Green): Generates a complete PDF report of the Net session to be saved or shared with organizers.
- 🏆 Generate Certs (Blue): Generates bulk participation certificates for all stations that checked in during that specific Net.
- 📧 Email Certs (Purple): The system will automatically email the certificates directly to the contacts, provided that the contact is already registered as a user on the portal.
- ✏️ Edit (Yellow) & 🗑️ Del (Red): Administrative controls to edit the session details or delete the session entirely.
6. Administrator Tools
This section is strictly for Administrators.
📢 Managing the Bulletin Board (NEW)
Administrators can post official club news, updates, and event changes directly to the homepage's Hamfinity Bulletin.
- Access the Manage Announcements panel from your Dashboard.
- Enter a clear Title and your Message. To keep the homepage neat, messages are limited to 500 characters.
- Smart Links: Any URL you type that starts with
http:// or https:// will automatically be converted into a clickable link for public users.
- You can freely Edit or Delete past announcements from the history table below the form.
📥 Importing Past ADIF Logs
If an NCS operator ran a net using N1MM, QRZ, or another logger instead of the portal, an Admin can upload the `.adi` file to retroactively award points.
- Go to the NCS Panel and click the gold 📥 Import Past ADIF link at the top.
- Select the official Net Name and provide the file.
- The system will parse the ADIF file, auto-detect the NCS Operator, extract every check-in, and push them to the Leaderboard.
7. Digital Certificates & Verification
QSO Hamfinity automates the issuance and verification of official event participation certificates.
📄 Downloading Certificates
Participants of official nets or events can download their personalized certificates directly from the portal:
- Visit the Semak Sijil (Certificate Check) page on the portal.
- Enter your callsign (e.g., 9M8ZAL).
- The system will display all events you have attended. Click Download PDF to generate your certificate instantly.
🔒 QR Code Authenticity (Official Record)
Every PDF certificate generated by the system includes a unique Serial Number and a Digital Verification QR Code at the bottom right corner.
- Anti-Forgery: Scanning the QR code with any smartphone will instantly redirect to the Official Record page.
- The verification page will confirm the operator's callsign, the specific event name, the timestamp of issuance in Malaysia Time (MYT), and the exact matching serial number directly from our secure database.
